
Dear Homeowners Association Member,
In response to state mandates, and wanting to do our part to combat the spread of COVID-19 (coronavirus), the Board of Directors will be hosting meetings online-only. There will be no in-person meetings. We will be utilizing live video conferencing technology which will enable you to watch and participate in the meeting using your computer, tablet and/or smart mobile device (don’t worry, you don’t have to show your video). Our goal will be to make this as close to a regular, in person, meeting as possible.

ITEMS TO NOTE:
- Submitting Questions Prior to Meeting:
To cover as much material in the time available for the meeting, we ask that all questions be submitted prior to the meeting. This will help the Board provide answers as part of the meeting’s presentation. If there is any time left at the end, non-submitted questions may be asked. Questions may be submitted on the Hampton Place website.
- Sign-On Early:
The live conference meeting room will open early at 6:55 PM. We encourage you to sign on early to work out any technical issues that may arise. Additionally, that will give you the opportunity to learn how to use the software in the event you would like to ask a question, etc. during the meeting. Once the meeting starts, we will not be able to assist resolving technical issues.
Meeting Conduct - Code of Regulations (Excerpt)
- Section 13. Conduct of Meetings.
The Present shall preside over all meetings of the Board of Directors, and the Secretary shall keep the minutes of the meeting and record in the minute book all resolutions adopted, as well as a record of all transaction occurring thereat.
- Section 14. Open Meetings
All meetings of the Board of Directors shall be open to all Members of the Association, but Members other than the Directors may not participate in any discussion or deliberation unless expressly so authorized by a majority of a quorum of the Board.
- Section 15. Executive Session
The Board may, with approval of a majority of a quorum, adjourn a meeting and reconvene in executive session to discuss and vote upon personnel matters, litigation in which the Association is or me become involved, bidding for goods and services or orders of business of similar nature. The nature of any and all business to be considered in executive session shall first be announced in open session.
